This guide explains how to extract VAT-relevant sales and tax data from Shopify for VAT compliance purposes. The exported reports are required to accurately calculate VAT liabilities and to upload data into Marosa’s VATify platform.
Why This Data Is Required for VAT Compliance
Shopify does not submit VAT returns on behalf of merchants. While it calculates and collects VAT at checkout, merchants remain responsible for reporting and filing VAT correctly in each jurisdiction. VATify uses Shopify sales and tax data to determine taxable transactions, apply the correct VAT treatment (including OSS and domestic VAT), and generate compliant VAT returns.
Step 1: Access Shopify Admin
- Log in to your Shopify Admin account.
- Navigate to Analytics → Reports from the main menu.
Access to certain reports may depend on your Shopify subscription plan.
Step 2: Select the Relevant VAT Reports
For VATify uploads, the following Shopify reports are typically required:
- Taxes report (VAT amounts collected)
- Sales by country or region (place of taxation)
- Sales by tax rate (VAT rate applied)
- Orders export (transaction-level detail, if required)
Step 3: Set the Correct VAT Period
- Open the selected report.
- Click the date selector in the top-right corner.
- Choose a Custom date range.
- Set the start date to the first day of the VAT period.
- Set the end date to the last day of the VAT period.
The reporting period must match exactly the VAT return period in VATify.
Step 4: Export the Report
- Click Export.
- Select CSV format.
- Choose Full report where available.
- Download and save the file.
Repeat this process for each required report.
Step 5: Export Orders Data (if required)
- Go to Orders in Shopify Admin.
- Click Export.
- Select Orders by date range.
- Apply the same VAT reporting period.
- Export as CSV for Excel.
This file includes customer location, order values, and tax line details used by VATify.
Step 6: Prepare the Data for VATify Upload
- Store all CSV files in a clearly organised folder.
- Ensure all reports use the same VAT period.
Before uploading to VATify:
- Review total sales and VAT amounts
- Check refunds and adjustments within the period
- Ensure VAT is correctly split by country and rate
- Do not alter the CSV structure or column headers
