Invoice Export Guide for PlentyONE

This guide explains how to export invoice data and supporting documents from PlentyONE for VAT compliance purposes. The extracted data and invoice PDFs are required to validate transactions and upload information into Marosa’s VATify platform.

Why Invoice Data Is Required for VAT Compliance

Invoices are the primary legal evidence for VAT reporting. PlentyONE stores invoices at transaction level, including VAT amounts, rates, and customer location. VATify uses this information to reconcile sales data, validate VAT treatment, and support compliant VAT filings.

Step 1: Log In to PlentyONE

Log in to your PlentyONE backend using your user credentials.

Step 2: Navigate to Orders Overview

From the main menu, go to Orders → Orders (or Order overview, depending on your configuration).

Step 3: Filter Orders by VAT Period

Apply a custom date filter to match the VAT reporting period.

Set the start date to the first day of the VAT period and the end date to the last day of the VAT period.

Step 4: Access Order Documents

Open an order and navigate to the Documents section. This is where invoices and credit notes are stored.

Step 5: Bulk Export Invoice PDFs

To download invoices in bulk:

• Select the filtered orders
• Choose Export documents or Generate documents
• Select Invoice (and Credit note, if applicable)
• Export the files in PDF format

Step 6: Export Invoice Metadata (CSV)

In addition to invoice PDFs, export structured invoice data in CSV format.

Ensure the export includes invoice number, date, net amount, VAT rate, VAT amount, gross amount, customer country, and currency.

Step 7: Include Credit Notes and Refunds

Repeat the export process for credit notes and refunds issued during the same VAT period.

Step 8: Prepare Files for VATify Upload

Before uploading to VATify:

• Ensure invoice PDFs and CSV data cover the same VAT period
• Do not alter invoice numbers or CSV column headers
• Store files in a clearly labelled folder (e.g. PlentyONE_Invoices_2025_Q1)
